There isn’t some secret, magic formula for creating the business of your dreams. Success often hinges on the ability to simplify and streamline with efficiency and precision. Standard Operating Procedures (SOPs) are a frequently overlooked tool of organizational prowess.

SOPs may not be the most glamorous aspect of entrepreneurship, but their importance cannot be overstated. SOPs are the unsung heroes, quietly keeping things running smoothly behind the scenes. They’re the secret sauce that ensures consistency, saves time, and delights clients. Your business can’t grow if the what and how for tasks are stuck in your head. SOPs aren’t just about outlining workflows; they’re about providing a detailed roadmap on not just what needs to be done but precisely how it should be done, ensuring consistency and efficiency across the board.

Reasons Why You Need SOPs

Save Time: Imagine you’re onboarding a new team member. Instead of spending countless hours explaining the ropes, you hand them the SOP manual and watch as they seamlessly integrate into the team. SOPs serve as lifesavers during onboarding, saving you time and effort while ensuring new team members hit the ground running.

Save Money: Clear procedures outlined in your SOPs safeguard against costly mistakes and rework. By maintaining work quality and ensuring tasks are done correctly the first time, SOPs help you avoid unnecessary expenses and keep your financial resources intact. Even if you don’t have a team (and don’t have plans to hire one), SOPs help to keep the work consistent no matter who is doing it. You won’t be recreating the wheel each time a task needs to happen. When you save time, you save money. By streamlining processes and minimizing errors, SOPs help you save precious time and resources.

SOPs ensure consistency in your workflows, providing clients with clear expectations and timely responses. Development and Implementation of SOPs

Knowing where to start can feel overwhelming, so let’s walk through the steps. You can create your SOPs in any format that’s easy to update and accessible to all team members. I like to keep it simple using tools like Google Docs, documents within ClickUp, or a platform like ScribeHow. Focus on clarity and ease of use, ensuring your team can easily reference and follow the outlined procedures. It doesn’t have to be fancy; it just needs to work.

An SOP consists of the following sections:

Purpose: Describe the functional purpose of the SOP and what it will accomplish. Describe how this SOP is meaningful in the grand scheme of things.
Prerequisite: Outline the information, knowledge, training, software, equipment, etc. required to implement this procedure. Add all documents, folders, and software used in the SOP as hyperlinks.
Property: Detail who will be responsible for managing the SOP. This is the person in charge of keeping the SOP up-to-date and organized and to whom all questions about the SOP are directed.
Parties: Detail who will be responsible for executing the SOP. This can be multiple people. 
Policy: Describe the rules associated with performing the procedure and the parameters within which the person performing this task must perform it. (ie. Must be performed on Mondays, the final product must go live at a particular time, must receive approval before being scheduled, etc.).
Process: Create a skeleton of the procedure, laying out the general, big-picture steps that somebody must take to accomplish the task.
Procedure: Detail the step-by-step instructions in EACH part of the process. Use screenshots and provide as much clarification as needed.
SOP creation documentation: Who created the SOP, what department does it belong to, creation date, last revised date, and who last revised the SOP.

Where to start

I typically recommend that clients start by creating SOPs for the tasks they want to outsource first. These could be tasks outside your wheelhouse, tasks that aren’t making you money, or tasks that you just dread doing. Delegating tasks will be better for you and the person you’re assigning tasks to if there is a clear path to how you want the task completed. You can start from scratch or download my template. Whichever option you choose, I suggest utilizing a template for all your SOPs to save time and have uniformity across your SOPs. If you already have a team, have each team member create the SOP for the tasks that they’re responsible for.

Example SOPs for Client Onboarding

Let’s dive into the nitty-gritty with examples of SOPs you might have for client onboarding:

  • SOP for client communication: Outline preferred communication channels, response times, and escalation procedures to ensure smooth and efficient communication with clients.
  • SOP for Invoicing Procedures: Detail how invoices are generated, sent, and tracked.
  • SOP for late payments: Detail your policies and how late payments are handled.
  • SOPs for fulfillment: Clearly define what clients can expect from your services, including deliverables, timelines, and milestones, setting the stage for a successful partnership from day one.
  • SOP for client offboarding: Outline what happens when offboarding clients, including wrap-up calls, testimonial requests, delivery of final assets, etc. 

It is entirely accurate to say that creating SOPs for every area of your business will involve a significant amount of time. That may not be what you want to hear, but despite the initial time investment required for their creation, SOPs are a game-changer for any business in terms of optimization and efficiency in your business operations. SOPs will help you save time and money. They are the lifeline of efficient business operations, and their impact is undeniable. So embrace them, implement them, and watch as they transform your business into a well-oiled machine.
